Privacy Policy

MELT Tracker is record-keeping software for BC Class 1 MELT driving schools. Because those records describe real instructors and real student drivers, we keep the amount of personal information we handle to what the ICBC forms actually require — and we do not sell it, advertise against it, or use it to build profiles.
1. Who we are
MELT Tracker is operated by Moga Web (“MELT Tracker”, “we”, “us”), located at Suite 211 – 320 Matheson Blvd West, Mississauga, Ontario, L5R 3R1, Canada. For any privacy question or request, contact our privacy officer at privacy@meltforms.com.
This policy covers three properties:
- meltforms.com — this marketing website.
- app.meltforms.com — the MELT Tracker application, used by school staff.
- db.meltforms.com — the backend service that stores school accounts and uploaded records.
2. Our role, and your school’s role
This distinction matters, because it decides who you should contact about a given record.
- For information you give us directly — a demo request, a support email, your school’s account details — we decide how it is used. We are responsible for it.
- For records a school uploads about its instructors and students, the school decides what to collect and why. We only hold and process that information on the school’s instructions, as its service provider. If you are an instructor or a student and want to see, correct or remove your records, contact your driving school first — they control that data. We will support the school in responding.
3. What we collect
a. When you request a demo on this website
The demo form collects your name, school name, email address, and the size band of your instructor team. We use it only to contact you about a demo and to answer your questions. It is not added to any advertising list.
b. When your school has an account
- Account details — school name, DTC number, and the credentials for your school’s single secure login.
- Billing details — what we need to invoice you. Card details, if you pay by card, are handled by our payment processor and are not stored on our servers.
- Support correspondence — messages you send us and our replies.
c. Records your school uploads
Schedules uploaded for MV7605 and MV7604 generation typically contain instructor names, student names, and the dates, times, durations and training units of each session. We keep each upload, and a history of uploads, because an auditable trail is the purpose of the product. We do not use this information for anything other than operating the service for your school.
d. Website analytics
We measure how this website is used, so we can tell which pages are worth keeping. The analytics are self-hosted by us at traffic.mogaweb.com — your browsing is not sent to Google Analytics or any advertising network.
It records the pages you view, the site or campaign that referred you, and basic browser and screen information. To tell a returning visitor from a new one, it stores two first-party cookies in your browser, and mirrors the same values in local storage:
_ts_vid— a random visitor identifier, kept for one year._ts_sid— a session identifier, kept for 30 minutes of inactivity.
These identifiers are random values. They are not linked to your name or email address unless you go on to submit the demo form. You can block or clear them at any time in your browser settings, and the site will work exactly the same.
e. Technical information
Our hosting provider records standard request data — IP address, browser user-agent, timestamp, and the page or endpoint requested — for security, abuse prevention and diagnostics.
4. What we do not do
- We do not sell, rent or trade personal information.
- We do not use your records, or your students’ records, to train machine-learning models.
- We do not serve advertising, and we do not run cross-site tracking or advertising pixels.
- We do not use a third-party analytics provider. Our analytics are self-hosted, and the only cookies this website sets are the two first-party analytics cookies described in section 3d.
5. Third parties and embedded content
This website loads a small number of resources from other companies. When your browser requests them, those companies necessarily see your IP address, and some may set their own cookies.

We are not responsible for how these companies use information collected under their own policies. Their privacy policies apply to their own processing.
6. Where information is stored
School accounts and uploaded records are stored on our backend at db.meltforms.com, hosted in Montreal, Canada. Content delivered through Cloudflare’s network may be served from, and request logs briefly processed at, locations outside Canada. If information is stored or processed outside Canada, it may be accessible to courts and law-enforcement authorities in those jurisdictions.
7. How long we keep it
- Demo enquiries that do not become customers: kept for up to 12 months, then deleted.
- School records and upload history: kept for as long as your account is active, because their value is the audit trail. After an account closes we retain them for 12 months so you can request an export, then delete them.
- Billing records: kept as long as tax and accounting law requires.
You can ask us to delete your school’s data sooner. We will do so unless we are legally required to keep it.
8. How we protect it
- All traffic to our sites and app is encrypted in transit with HTTPS.
- Access rules are enforced on the server, not merely hidden in the interface, so one school’s records are not visible to another school.
- Each school has a single secure account; you are responsible for keeping those credentials confidential and for who at your school uses them.
- Access by our staff is limited to what is needed to run the service and to answer your support requests.
No system is perfectly secure. If a breach occurs that creates a real risk of significant harm, we will notify affected schools and the relevant privacy authorities as Canadian law requires.
9. Your rights
Under Canada’s PIPEDA and British Columbia’s Personal Information Protection Act, you may ask us to:
- tell you what personal information we hold about you and how it has been used;
- correct information that is inaccurate or incomplete;
- provide a copy of your school’s data in a usable format;
- delete information, subject to our legal retention obligations; or
- withdraw consent to our use of your information — noting that we may then be unable to keep providing the service.
Write to privacy@meltforms.com. We respond within 30 days. If you are not satisfied, you may complain to the Office of the Privacy Commissioner of Canada, or to the Office of the Information and Privacy Commissioner for British Columbia.
10. Children
MELT Tracker is sold to businesses, not to individuals, and is not directed at children. Records uploaded by schools concern adult driver trainees enrolled in Class 1 MELT programs.
11. Changes to this policy
If we change this policy we will update the “last updated” date above. If a change materially affects how we handle personal information, we will notify account holders by email before it takes effect.
